How QR Code Equipment Tracking Works (and Why Spreadsheets Fail)
A spreadsheet tells you what you should have. A QR label tells you what you actually scanned — by whom, for which client, and when.
How It Works in 4 Steps
- Register each item once. It gets a unique ID such as
EQ-2026-00001. - Label it. Print the QR or barcode label and stick it on the item.
- Scan to issue. A storekeeper scans the label on a phone, picks the client and project, and sets a due date.
- Scan to return. The return records condition, damage and any charges.
Why Spreadsheets Fail
- They depend on typing. Typos create duplicate or "ghost" items.
- They are not live. Two people edit different copies and neither is right.
- They have no due dates that act. Nothing flags an overdue item.
- No audit trail. You cannot tell who changed what.
What You Gain
- Check-out in seconds, from any phone.
- A history for every item: who had it, where it went, what condition it came back in.
- Overdue visibility, so rentals turn into invoices on time.
- Fewer disputes — the record shows what was issued and returned.
